About Opportunity
1. Process all incoming and outgoing mail; maintenance of the reception diary. Carrying out administration relating to the centre including responding to enquiries received by phone, letter and email. 2. Input data collated from service users for registration, and monitoring and evaluation purposes and ensure all sensitive data is filed in line with Data Protection legislation 3. Liaise effectively with all YWCA Scotland Staff, Volunteers, Service Users, Parents, Carers and Partner Agencies, Local Advisory Committee and Board Members and any other relevant groups as appropriate to ensure lines of communication are open at all times. 4. Maintain and distribute information and resource material for/to Service Users, Staff and Volunteers and assist Development Worker in preparation of publicity e.g. posters, leaflets, e-bulletin, website, newspaper advertisements and update centre notice board with relevant information. 5. Monthly administration of petty cash expenditure and receipt and bank centre income in line with the Petty Cash and Income Management procedures, submitting monthly returns to National office. 6. Assist Development Worker with preparation and monitoring of Project budgets and providing financial information within the Volunteers capabilities. 7. Assist Development Worker to collate timesheets and prepare salary returns for YWCA staff at Livingston and send to National Office monthly. Further information available on request.

Skills & Experience
A genuine interest and understanding of the importance of working with girls and young women to build confidence, self-esteem and leadership skills. To be organised, reliable and punctual. Ability to work as part of a team with other Volunteers, Staff and Service Users. Ability to work on own initiative and at times unsupervised. Experience in an administrative role would be desirable but not essential. A qualification in Administration or Business would be desirable but not essential. Ability to work to deadlines. Understanding of the importance of health and safety and following appropriate policies and procedures. Well developed communication skills. Committed to promoting positive and supportive relationships. Understand and value the importance of equality and diversity. Trustworthy, honest and open to new experiences. Recognise the impact one persons contribution can make. Respect the rights of girls and young women to make their own choices .

Training and Induction Details
All Volunteers will be provided with an appropriate Induction on the work of YWCA Scotland, the project they are volunteering for and the role they are undertaking. Further details available on request.
